The longer I look and test products, the more I feel like Goldilocks&#8230;<\/p>\n<p>&#8220;This one&#8217;s too flat.&#8221;<\/p>\n<p>&#8220;That one&#8217;s too complicated.&#8221;<\/p>\n<p>&#8220;That one&#8217;s too difficult to view.&#8221;<\/p>\n<p>&#8230;and so on.<\/p>\n<p><a href=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_2_39_PM.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignleft size-full wp-image-720\" alt=\"Screenshot_2_23_13_2_39_PM\" src=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_2_39_PM.png\" width=\"61\" height=\"76\" \/><\/a><\/p>\n<p>Back in my Palm III days I used <a href=\"http:\/\/www.llamagraphics.com\/LB\/LifeBalanceTop.html\" target=\"_blank\">LifeBalance<\/a>\u00a0by Llamagraphics. I loved it. \u00a0It was the first task manager I had ever used that included context. \u00a0I&#8217;d be out running errands and it would show me that if I was going to Target I should remember to pick up the dry cleaning that was only two blocks away. \u00a0It also helped my align my tasks with my values and it had a llama for its icon. What&#8217;s not to like?<\/p>\n<p>I kept with it until I moved to Singapore. I had a Mac at home, a Windows XP machine on my desk, and an old Palm something in my pocket. \u00a0Let&#8217;s just say that back in 2006 that combo didn&#8217;t work. \u00a0Those three platforms did not share data nicely.<\/p>\n<p><a href=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_2_42_PM.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignleft size-full wp-image-721\" alt=\"Screenshot_2_23_13_2_42_PM\" src=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_2_42_PM.png\" width=\"174\" height=\"55\" \/><\/a>From there I tried a few things and ended up with \u00a0<a href=\"http:\/\/www.toodledo.com\" target=\"_blank\">Toodledo.com<\/a>. I really like its feature set. \u00a0It is highly configureable so I could get it to work the way that worked best for me. \u00a0In my new job, I found I needed sub-task that to keep organized. \u00a0By go for the pro subscription I was able to get that feature for a reasonable annual fee.<\/p>\n<p>When an iphone finally entered my life, I discovered that quite a few todo apps for the phone could sync with\u00a0<a href=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_2_44_PM.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignright size-full wp-image-723\" alt=\"Screenshot_2_23_13_2_44_PM\" src=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_2_44_PM.png\" width=\"75\" height=\"76\" \/><\/a>Toodledo.com. \u00a0I settled on <a href=\"http:\/\/www.2doapp.com\/ios.html\" target=\"_blank\">2Do<\/a>\u00a0because it was well-designed and attractive.\u00a0That combination worked quite well.<\/p>\n<p>Eventually, that system started to break down. I realized the problem was email. \u00a0When I was a classroom teacher, most of my tasks came from me. \u00a0I was writing units, reviewing units, scoring assignments, etc. \u00a0When I became a tech coordinator (and now a tech coach), suddenly the majority of my tasks originated in my inbox. \u00a0My Toodledo system broke down because I had to copy everything into my task management system. \u00a0I needed a system which streamlined that workflow.<\/p>\n<p><a href=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/evernote.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"alignleft size-thumbnail wp-image-724\" alt=\"evernote\" src=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/evernote-150x150.jpg\" width=\"150\" height=\"150\" srcset=\"https:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/evernote-150x150.jpg 150w, https:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/evernote.jpg 204w\" sizes=\"auto, (max-width: 150px) 100vw, 150px\" \/><\/a>I was really excited to read about <a href=\"http:\/\/www.thesecretweapon.org\/the-secret-weapon-manifesto\/manifesto-part-1-the-issue\" target=\"_blank\">The Secret Weapon<\/a>. It was a system that made use of the strengths of <a href=\"http:\/\/www.evernote.com\" target=\"_blank\">Evernote<\/a> to tame my inbox tasks. \u00a0It played well with GTD. It was flexible and powerful. \u00a0It synced between web, desktop and phone. It made use of apps I was already using.<\/p>\n<p>It took me an entire afternoon to get all setup and move my task lists, but I immediately knew it was a good system. \u00a0I could email directly from my inbox into Evernote. I could assign tags for context and priority in the subject of the email letter as I forwarded it. \u00a0It was easy to sort and search. \u00a0Things were getting done. \u00a0Life was good.<\/p>\n<p>Then Evernote rolled out a major update. \u00a0For overall usability it was a brilliant update. For my task management system it was not so good. \u00a0On my phone, the new views made my tasks more difficult to view. More importantly, the labels, which are essential in this system, were buried multiple click away. \u00a0Around the same time, Gmail changed its message creation interface. \u00a0As with Evernote, it is a big improvement for most things, but changing the subject line was more cumbersome and that is a key step in the system I was using. Not too surprisingly, my system started to fall apart not long after the update.<\/p>\n<p>This weekend I started poking around. \u00a0I still needed a task manager in a major way. \u00a0Keeping my tasks in my head is a recipe for failure. As I started my search, I revisited Toodledo.com. \u00a0It is a great system. \u00a0However, nowhere on its site do I see mention of being able to email tasks into the system. \u00a0I know that in my current tech coach job, I must have that.<\/p>\n<p>I did a search for task management apps with email. \u00a0Most of the hits allowed you to email tasks out of the app but not in. \u00a0I also want something that syncs in the cloud an<\/p>\n<p>And so, my search begins again. \u00a0For this search, these are my criteria.<\/p>\n<p><strong>Basic Requirements<\/strong><\/p>\n<ul>\n<li><span style=\"line-height: 13px;\">cloud sync between computer, web and iPhone<\/span><\/li>\n<li>able to quickly create a task<\/li>\n<li>not completely flat &#8211; I don&#8217;t want my home and work tasks in the same list<\/li>\n<li>able to email tasks from inbox into system.<\/li>\n<\/ul>\n<p><strong>Desired Extras<\/strong><\/p>\n<ul>\n<li><span style=\"line-height: 13px;\">good usability within the app<\/span><\/li>\n<li>recurring tasks<\/li>\n<li>subtasks<\/li>\n<li>folders and labels<\/li>\n<li>able to assign a priority<\/li>\n<li>multiple filters<\/li>\n<li>visually appealing or visually neutral (not so cluttered I can scan my list)<\/li>\n<\/ul>\n<p><a href=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_3_06_PM-2.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignleft size-full wp-image-722\" alt=\"Screenshot_2_23_13_3_06_PM-2\" src=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_3_06_PM-2.png\" width=\"293\" height=\"82\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<p>First I looked at <a href=\"https:\/\/goodtodo.com\" target=\"_blank\">Good Todo<\/a>. \u00a0It is a very slick, flat task manager. You can create tasks in the web app or on your phone. \u00a0You can send tasks from your inbox. \u00a0It is organized by time. \u00a0By default you see today&#8217;s tasks. \u00a0You can view tomorrow, later in the week, etc. \u00a0When you send tasks from your inbox, where you send them determines where they end up in the system. \u00a0For example, I could send it to tomorrow@goodtodo.com \u00a0and the task would appear in tomorrow&#8217;s task list. \u00a0 It is very easy to redate a task, and the system is smart enough to move uncompleted tasks to the next day. \u00a0The interface is uncluttered. \u00a0The free account allows for two categories so I can separate home tasks from work tasks.<\/p>\n<p>There is a free account that allows you to create 10 tasks per day. The premium account only costs $3.00 per month and gives you unlimited task creation. \u00a0The iphone app is free. \u00a0At the moment, this limit is a problem. \u00a0Once I have the system established I could probably keep to the 10 per day limit. However, right now I need to transfer in my current tasks. Unfortunately, there are more than ten of them. \u00a0I&#8217;m keeping GoodTodo in mind as I continue my search.<\/p>\n<p>My husband mentioned a program he had just read about. \u00a0While he when scrolling back through sites he often reads to find it, my search turned up <a href=\"https:\/\/www.producteev.com\" target=\"_blank\">Producteev<\/a>.<\/p>\n<p><a href=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_3_48_PM.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignleft size-full wp-image-725\" alt=\"Screenshot_2_23_13_3_48_PM\" src=\"http:\/\/www.ssedro.com\/blog\/wp-content\/uploads\/2013\/02\/Screenshot_2_23_13_3_48_PM.png\" width=\"269\" height=\"53\" \/><\/a><\/p>\n<p>Producteev appears to meet <em>everything<\/em> on my basic and desired requirement lists. \u00a0Like my Secret Weapon system with Evernote, it not only allows me to send tasks from my inbox. \u00a0It also allows me to assign me to set the date due, assign priority and apply a task. \u00a0It has a slew of configurable notifications. If you have it inform you of items that are past due via email or SMS, you can reply &#8220;done&#8221; and it will be marked as such. \u00a0It has a free\/premium model with most of the premium features applying to workgroups.<\/p>\n<p>The task manager my husband had read about is called <a href=\"http:\/\/www.mailboxapp.com\" target=\"_blank\">Mailbox<\/a>. It is currently a smartphone app that works with Gmail. If it doesn&#8217;t have that, it won&#8217;t be of much use to me since I probably process 60% of my email at a computer and the other 40% on my phone.<\/p>\n<p>Here is the promotional video from their website. I haven&#8217;t had time to get my inbox down to zero so I can give it a good test.
