There are two ways. First let&#8217;s look in the Navigation Pane.<\/p>\n<ul>\n<li><strong>Personal<\/strong> folders are a solid color.<\/li>\n<li><strong>Shared <\/strong>folders<strong> <\/strong>have a person on them.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong><span style=\"color: #008000;\">Look at the folders below. Can you tell which ones are <span style=\"text-decoration: underline;\">personal<\/span> and which ones are <span style=\"text-decoration: underline;\">shared<\/span>?<\/span><\/strong><\/p>\n<p><strong><span style=\"color: #008000;\">Next, look at your own Google Drive. Use the Navigation Pane to find one <span style=\"text-decoration: underline;\">personal<\/span> and one <span style=\"text-decoration: underline;\">shared<\/span> folder.<\/span><\/strong><\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"What is in Google Drive?\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/what-is-in-google-drive.png?1351433972\" width=\"258\" height=\"284\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Shared and Personal Files<\/h2>\n<div class=\"instructions\">\n<p>Looking in the Navigation Pane works for folders. It does not work for files. We find out if <strong>files<\/strong> are <span style=\"text-decoration: underline;\">personal<\/span> or <span style=\"text-decoration: underline;\">shared<\/span> by looking in Main Window. The key is to <strong>look to the right of the document&#8217;s title<\/strong>.<\/p>\n<ul>\n<li>If the file is shared, it will say <strong>Shared<\/strong> right after the title.<\/li>\n<li>If a file is not shared it may be blank after the title. If it is not blank, it will list the folder(s) in which the file is stored.<\/li>\n<\/ul>\n<p><strong><span style=\"color: #000000;\">Let&#8217;s practice. Look at this list of files. <\/span><\/strong><\/p>\n<ul>\n<li><strong><span style=\"color: #008000;\">Which ones are <span style=\"text-decoration: underline;\">shared<\/span>?<\/span><\/strong><\/li>\n<li><strong><span style=\"color: #008000;\">Which ones are <span style=\"text-decoration: underline;\">personal<\/span>?<\/span><\/strong><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong><span style=\"color: #008000;\">Next look at the Main Window of your own Google Drive. Go to your Google Drive. <strong>Locate each of these items.<\/strong><\/p>\n<p>1. Navigation Pane.<\/p>\n<p>2. Main Window<\/p>\n<p>3. a folder that is Personal<\/p>\n<p>4. a folder that is Shared<\/p>\n<p>5. a file that is Personal<\/p>\n<p>6. a file that is Shared<\/p>\n<p>7. Gear button where we go to change settings<\/p>\n<\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Google Docs Old and New View<\/h2>\n<div class=\"instructions\">\n<p>Google Docs = old view<\/p>\n<p>Google Drive = new view<\/p>\n<p>Some day there will no longer an the old view. It is good to start using the new view before that happens.<\/p>\n<\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Old View<\/h2>\n<div class=\"instructions\">\n<p>Look at the picture below. You are in the <strong>old view <\/strong>if you have these two folders&#8230;<\/p>\n<ol>\n<li><strong>My collections<\/strong><\/li>\n<li><strong>Collections shared with me<\/strong><\/li>\n<\/ol>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"Old View\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/old-view.png?1351433975\" width=\"477\" height=\"505\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>New View<\/h2>\n<div class=\"instructions\">\n<p>Your are in the new view if you see <strong>My Drive<\/strong>.<\/p>\n<p><strong><span style=\"color: #008000;\">Go to your Google Drive. Check to see if you are in the old view or the new view.<\/span><\/strong><\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"New View\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/new-view.png?1351433976\" width=\"431\" height=\"377\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Switch to the Old View<\/h2>\n<div class=\"instructions\">\n<p>Now that you can find your way around the Google Drive window, you are almost ready to start organizing. It is easiest to organize your Google Drive when you are in the old view.<\/p>\n<p>1. Click on the Gear button.<\/p>\n<p>2. Click on the words <strong>Temorarily use the old look. <\/strong>If you don&#8217;t see those words, then you are already in the old view.<\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"Switch to the Old View\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/switch-to-the-old-view.png?1351433977\" width=\"355\" height=\"262\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Find Collections shared with me<\/h2>\n<div class=\"instructions\">\n<p>1. Look in the Navigation Pane.<\/p>\n<p>2. Scroll down until you find <strong>Collections shared with me<\/strong>.<\/p>\n<p>3. <strong>Expand<\/strong> the the folder by tapping the triangle which is to the left of <i>Collections shared with me<\/i>.<\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"Find Collections shared with me\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/find-collections-shared-with-me.png?1351433978\" width=\"234\" height=\"111\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Find Top Level Folders<\/h2>\n<div class=\"instructions\">\n<p>Look at the Navigation Pane below.<\/p>\n<p>&#8211; The first two folders are all the way to the left. That means they are <strong>top level folders<\/strong>.<br \/>\n&#8211; The next two folders are indented to the right. That means they are inside another folder. They are <strong>subfolders<\/strong>.<\/p>\n<p>When we organize your Google Drive, we only want to work with <strong>top level folders<\/strong>. Ignore the subfolders.<\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"Find Top Level Folders\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/find-top-level-folders.png?1351433979\" width=\"417\" height=\"147\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Organize a Folder into My Collections<\/h2>\n<div class=\"instructions\">\n<p>We are ready to start organizing. When we organize, it is <strong>EXTREMELY IMPORTANT <\/strong>to never drag folders. Dragging may hide the item from other people. Here is the correct way to organize folders.<\/p>\n<p>1. <strong>Control-click<\/strong> a top level folder in the navigation bar.<\/p>\n<p>2. A menu will drop down.<\/p>\n<p>3. Click <strong>Organize<\/strong>.<\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"Organize a Folder into My Collections\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/organize-a-folder-into-my-collections.png?1351433980\" width=\"628\" height=\"267\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2><\/h2>\n<div class=\"instructions\">\n<p>&nbsp;<\/p>\n<p>5. After a few seconds, an Organize window will open.<\/p>\n<p><span style=\"color: #ff0000;\">6. <strong>HOLD DOWN THE COMMAND KEY ON YOUR KEYBOARD.<\/strong><\/span><\/p>\n<p>7. Tick <strong>My collections<\/strong>.<\/p>\n<p>8. Click <strong>Apply<\/strong>.<\/p>\n<p>9. Let go of the command key.<\/p>\n<p>&nbsp;<\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"d303991b-f09a-471f-9797-0ee0c6a0f142.png\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/d303991b-f09a-471f-9797-0ee0c6a0f142.png?1351433981\" width=\"594\" height=\"409\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2><\/h2>\n<div class=\"instructions\">\n<p><strong>Holding down the command key ensures that other people can still find the folder. <span style=\"color: #ff0000;\"> It is essential that you hold it down during steps 7 and 8.<\/span><\/strong><br \/>\nIf you are on a Windows computer, hold down the control key instead of the command key.<\/p>\n<p>&nbsp;<\/p>\n<\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Tips<\/h2>\n<div class=\"instructions\">\n<p>&nbsp;<\/p>\n<p>You have successfully organized a shared folder into your My Drive. Now work your way through the <i>Collections shared with me<\/i> folder. Here are some tips to help you with your organizing.<\/p>\n<p>&#8211; You may not need every folder. Click on a folder and then look at its contents in the main window. If you don&#8217;t need it, don&#8217;t organize it.<\/p>\n<p>&#8211; Folders that start with <strong>ti<\/strong> are Teacher Dashboard folders. Do not delete any of them.<\/p>\n<p>&#8211; For now, do not delete any folders. Just leave the ones you don&#8217;t need in <i>Collections shared with me.<\/i><\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Switch to the New View<\/h2>\n<div class=\"instructions\">\n<p>When you are done organzing the <i>Collections shared with me folder<\/i>, it is time to switch to the new look in Google Drive.<\/p>\n<p>1. Click on the <strong>Gear<\/strong> button.<\/p>\n<p>2. Tick <strong>Upgrade to new look<\/strong>.<\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"Switch to the New View\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/switch-to-the-new-view.png?1351433981\" width=\"283\" height=\"232\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Using Stars<\/h2>\n<div class=\"instructions\">\n<p>If there are certain files or folders you use frequently, you may want to make them easier to find. One way to do this is to add a star. There are two ways to add a star.<\/p>\n<p>In the navigation pane&#8230;<\/p>\n<p>1. <strong>Control-click<\/strong> the title of a folder.<\/p>\n<p>2. Select <strong>Add star<\/strong> in the dropdown menu.<\/p>\n<p>&nbsp;<\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"Using Stars\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/using-stars.png?1351433982\" width=\"608\" height=\"184\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2><\/h2>\n<div class=\"instructions\">\n<p>&nbsp;<\/p>\n<p>Another way to add a star is in the main window.<\/p>\n<p>1. Find the file or folder in the main window.<\/p>\n<p>2. Find the folder in the navigation pane.<\/p>\n<p>2. Control-click on the folder.<\/p>\n<p>3. Select <strong>Change color<\/strong>.<\/p>\n<p>4. Click on a color.<\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"Colored Folders\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/colored-folders.png?1351433986\" width=\"714\" height=\"298\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Sort Your Main Window<\/h2>\n<div class=\"instructions\">\n<p>Now that your Google Drive is organized, starred and color coded, let&#8217;s make the main window easier to use. Many teachers find it most useful to sort the main window in this way.<\/p>\n<p>&nbsp;<\/p>\n<p>1. Click on the <strong>Sort<\/strong> button.<\/p>\n<p>2. Select <strong>Last opened by me<\/strong>.<\/p>\n<p>&nbsp;<\/p>\n<p>Now the main window should mostly show the files and folders you are actually using.<\/p>\n<\/div>\n<div class=\"screensteps-media\"><img loading=\"lazy\" decoding=\"async\" alt=\"Sort Your Main Window\" src=\"http:\/\/media.screensteps.me\/ssedro\/mnf6hf\/sort-your-main-window.png?1351433986\" width=\"290\" height=\"149\" \/><\/div>\n<\/div>\n<div class=\"screensteps-step\">\n<h2>Organizing New Files Shared with You<\/h2>\n<div class=\"instructions\">\n<p>Here is a good work flow to follow so you can more easily keep track of new files that are shared with you.<\/p>\n<p>1. When you receive an email informing you that a new file has been shared with you, click on the link in that email. The file will open in your Google Drive.<\/p>\n<p>2. In the top, left corner of the file, is a folder icon.
